Creating a new print job

If you are requesting a new print piece (something you have never published before) start by deciding who the audience is, what the piece needs to accomplish, and what you ideally want the piece to be.

Coordinating with the Communications Office

Next, schedule a meeting with the Communications Office to figure out the best way to approach to project and add it to the print production schedule.

If you are adding a job to a production schedule that has already been set, please keep in mind, print jobs could take anywhere from eight to 10 weeks from the time you turn in all your materials, depending on the scope of the project and the number of projects currently in production.

Bring to the meeting:

  • examples of similar pieces that you feel are effective
  • your budget
  • the quantity you need and when you need it delivered/mailed

This information will help determine what can be accomplished within your budget, and at this time deadlines can be set and your project can be added to the printing schedule. If you are not sure about issues such as budget fill out a price quote form (print off from menu at right) and bring it with you to the meeting.

Turning in your print job

If you did not fill out a communications form with the Communications Office during your meeting, print one off from the menu on the right and fill it out. If you have questions about the form, read the tutorial (also on the right-side menu) or e-mail the Communications Office.

Using the text submission guidelines (right-side menu), create a Word document with the copy you want included in your print job. Do not format it in Word (the print piece will be created in the appropriate graphic design software and formatting in Word can actually create more work for the designer). If you would like to format something to show as an example of what you are looking for that is fine, but be sure that what you submit to be used in the design process is unformatted. Text must be e-mailed as a Word attachment.

Gather any images that you are supplying and turn them in on CD, DVD, or as an e-mail attachment as CMYK or TGB TIFF format 4”x6” 300 dpi or more; or as slides or transparencies.

Turn in all necessary materials, including copy, images, the communications form, and design specs and/or examples by the previously agreed upon deadline.
