The proof process

An important element to the print process is proofing. You will receive a proof of your print job. It is very important that you look this over very carefully. Each department is ultimately responsible for the content of their print pieces.

What to look for:

  • If you are updating an older print piece, check that all your updates were made.
  • Read copy thoroughly for any errors. Often if you haven’t seen the text for several days you may find things you missed at first.
  • Check that design meets your needs.

If you are not happy with any aspect of your job this is the time to bring up any issues. Contact the Communications Office and we will go over the piece and address your concerns.

When you get a proof you will be given a proof slip to sign. If you want to see another proof, be sure to choose that option on the proof slip.

The printer also creates a proof, which you may be shown if you request. The purpose of the printer proof is to ensure that the elements (e.g. color and images) and the layout are printing correctly. Should other errors be found (e.g. spelling or grammatical) they can be fixed but there will be a charge. Correcting an item that is on the press is expensive and should only be done if absolutely necessary. If you would like to see the printer proof be sure to tell the publications coordinator.
